We currently collect and process a number of categories of personal data including Identity Data, Contact Data, Financial Data, Special Category Data and Profile and Usage Data.


We only collect the minimum personal data in order to satisfy our contractual obligations which include your name, address and basic details surrounding your property. We will collect payment details from you when you instruct us to proceed.  This information is typically:

   • Payment details (including payment method and values)
     


How we get the personal information and why we have it


Most of the personal information we process is provided to us directly by you for one of the following reasons:


   • To ensure we have the correct contact details for you to arrange, coordinate and                          provide Home Surveying and Valuation service


   • To enable verification of the information you have provided about the property you own        to ensure such information is accurate and correct


   • To enable completion of RICS required Home Survey and Valuation documents

 

   • To comply with RICS Standards and Regulations in providing Home Survey and                             Valuation services    

                         
   • To enable payment of Referral Fees where Clients have been referred to us by                               professional services including Estate Agents, Solicitors, Financial Advisors.


We also receive personal information indirectly, from the following sources in the following scenarios:


   • Where we have referral arrangements in place with professionals or professional                      bodies we receive and process your data to enable appropriate contact with you to                    arrange,  coordinate and provide Home Surveying and Valuation services.
 

We use the information that you have given us in order:
 

   • To ensure we have the correct contact details for you to arrange, coordinate and                         provide Home Surveying and Valuation services
 

   • To enable verification of the information you have provided about the property you own         to ensure such information is accurate and correct
 

   • To enable completion of RICS required Home Survey and Valuation documents
 

   • To comply with RICS Standards and Regulations in providing Home Survey and                             Valuation services
 

   • To enable payment of Referral Fees where Clients have been referred to us by                               professional services including Estate Agents, Solicitors, Financial Advisors.


We only provide your personal information with your consent and do not sell or provide your personal information without your consent.


We have Referral Agreements in place and receive referral fees for referring Clients to other professional organisations.  Where we have your consent to provide your information to our referral partners this will be limited to our business partners only, will only include your basic contact information and will not contain payment information.  Our referral partners are limited to:


   • Estate Agents
   • Solicitors
   • Financial Advisors


Under the UK General Data Protection Regulation (“UK GDPR”), the lawful bases we rely on for processing your personal data are:


   a) Your consent – you have given your consent for us to process your personal  data for a            specific purpose.  You are able to remove your consent at any time  and can do this by              contacting: info@farrowandgould.com


   b) We have a contractual obligation to you – the processing of your personal data  is                      necessary for a contract between us or because you have asked us to take  specific steps         before entering into such contract.


   c) We have a legal obligation – the processing of your personal data is necessary  by law               (not including contractual obligations).


   d) We have a Legitimate interest - the processing of your personal data is  necessary for              our legitimate interests or the legitimate interests of a third  party, unless there is a                  good reason to protect your personal data which  overrides those legitimate interests.

 


How we store your personal information 


Your information is securely stored and we use a variety of technologies and procedures to protect your personal data from accidental or unlawful breaches of security. These include physical, organisational, and technological security measures.


We also limit access to your personal data to only those Farrow & Gould Limited staff and referral partners who require your information or to whom you have consented we pass your information to.


We have put in place procedures to deal with any suspected personal data breach and will notify you and any applicable regulator of a breach where we are legally required to do so. 
We only retain your personal data for as long as necessary. The list below outlines how long data is retained and depends on the reason the personal data is used for:


   • For a Survey where we attend property and a report is produced - 21 years
   • A survey request that does not lead to a survey - 2 years
   • A quotation request - 2 years
   • For general enquiries  - 2 years


Once the timeframes set out above have elapsed we delete all data from our databases, files, phones, tablets, PCs and cloud storage.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
